The University of Wisconsin-Madison’s Department of Chemistry is seeking a dynamic and organized professional to fill the role of Events & Program Specialist. This position is pivotal in planning and executing events and programs that align with the department’s strategic goals. The ideal candidate will be a natural leader, capable of managing cross-functional teams and external partners to deliver engaging experiences for students, donors, and industry representatives.
This role is not just about event planning; it’s about driving the department’s mission forward. The Events & Program Specialist will oversee the entire project lifecycle, from planning and budgeting to execution and evaluation. This includes developing detailed project plans, managing timelines and resources, and continuously improving processes to enhance event effectiveness. The position also involves managing program budgets, procurement, and financial reporting to ensure responsible stewardship of resources.
The Role: A Blend of Creativity and Strategy
The Events & Program Specialist will serve as the initial point of contact for various projects, representing the interests of these initiatives in committees and meetings. The role requires a keen eye for analyzing data and trends, compiling progress reports, and providing recommendations based on findings. Additionally, the specialist will contribute to communications efforts by developing multimedia content that supports program goals and enhances audience engagement.
Building and maintaining strong relationships with internal stakeholders, faculty, staff, students, and external partners is a crucial aspect of this role. The position requires a high level of professionalism, excellent administrative and organizational skills, and the ability to manage multiple priorities. The Events & Program Specialist will be part of a supportive team in a culture of excellence, with a flexible first shift schedule that may occasionally include early evening and weekend hours.
Qualifications: What We’re Looking For
To excel in this role, candidates should have a minimum of three years of experience in administration, events coordination, or project management in a professional setting. Proficiency with office and productivity software, including spreadsheet and communication platforms, is essential. Preferred qualifications include proficiency with web-based project management tools and experience working with UW policies and procedures.
The position requires a bachelor’s degree. The expected salary range for this position is $60,000 up to $75,000 annuallydepending on experience and qualifications.
